How PCO Headcounts Work in ChurchIQ

ChurchIQ pulls in all custom headcounts from Planning Center (PCO) into your attendance dataset.

This includes any headcount you track, such as:

  • Adult attendance
  • Kids attendance
  • Total attendance
  • Special event counts
  • Non-attendance metrics (e.g., parking lot cars, volunteers, etc.)

These headcounts are then used to power key attendance metrics like:

  • Average Weekly Attendance (AWA)
  • Previous Week Attendance

Important: Not All Headcounts Are Used Automatically

While all headcounts are imported, not all are included in attendance calculations by default.

ChurchIQ allows you to choose which headcounts should count toward attendance metrics.

This is important because some headcounts may not represent actual attendance, such as:

  • Cars in the parking lot
  • Volunteer-only counts
  • Special event or weekday counts

Why You Might See “No Data”

If your attendance charts show “no data,” it typically means:

  • Headcounts are being pulled in, but no headcounts have been selected for AWA/Previous Week calculations
  • The correct events or services have not yet been configured
  • The PCO connection or data sync needs verification

How to Resolve It

1. Confirm Headcounts Are Syncing

Make sure your Planning Center headcounts are successfully flowing into ChurchIQ.


2. Define Which Headcounts Count as Attendance

Provide your ChurchIQ team with:

  • The events/services you consider your primary attendance (e.g., weekend services)
  • The specific headcounts that represent actual attendance (e.g., total attendance, not parking lot cars)

ChurchIQ will then configure your dashboards to include only those selections.


3. Optional: Use Church Metrics (Recommended)

If you prefer a more streamlined attendance setup, ChurchIQ also supports Church Metrics.

  • Designed specifically for attendance tracking
  • Reduces ambiguity around which headcounts to use
  • Simplifies dashboard configuration

Troubleshooting Checklist

If charts are still showing “no data”:

  • Confirm PCO headcounts are being imported
  • Verify which headcounts are configured for AWA and Previous Week

  • Double-check that your selections reflect true attendance (not auxiliary counts)
